Start with one recurring question
Pick a question the owner or team asks every day: what is due, what is in stock, or what is waiting for dispatch? A useful first system answers one clear question reliably.
Write down the current handoffs
Follow one transaction from the first entry to the final handover. Note the register, spreadsheet, message and person involved at each step.
Choose a first module
Look for duplicate entry, missed handovers or time spent compiling the same information. Keep the first scope small enough for the team to review.
Check it on real work
Use sample records first, then ask a small group to try normal cases and exceptions. Correct the workflow before adding more modules.
Decide what comes next
After the team has used the first module, review what changed and what still causes delay. Let that evidence shape the next step.
Every business works a little differently. Map your own workflow and check any accounting or compliance decisions with the people responsible for them.
